Download requests is a powerful feature that will let you know who is downloading your assets, and gives you the ability to approve or deny asset downloads. It is available to all customers in the Enterprise tier.

How it works

Download requests is a new Kit level access setting that has two separate pieces of functionality.

  • Download requests - when a visitor attempts to download an asset, they are stopped and asked to provide their email address.

  • Download request management - you can control what happens after the visitor provides their email address. You can set it so the visitor gets immediate access to the asset, or set it so an admin has to approve or deny the request before the visitor can download the asset.

To turn on download requests for a kit, open the kit's share modal, make sure the kit is set to public and select the new "Enable download requests" ✅. That's it - now all visitors to your kit will need to enter their email address when they attempt to download an asset.

Next, you'll want consider what happens to the visitor after they've provided their email address. This can be done by selecting "Configure" and choosing an option. Each option, with its function is listed below.

  • No approval required (default) After the visitor enters their email, the asset will immediately download. They will not be asked to provide their email again if they attempt to download another asset in the kit. The visitor's downloads along with their email will be recorded in Lingo's new and improved Insights dashboard.

⭐️ Use this option if your goal is to only know who is downloading your assets.

  • Admin approval grants access to entire kit. After the visitor enters their email, they will see a message notifying them their request is being reviewed. An admin can approve or deny the request (more on this below). If approved, the visitor will be sent an email with a download link. Once the visitor is approved they can download any other asset in the kit without needing approval. The visitor's downloads along with their email will be recorded in Lingo's new and improved Insights dashboard.

⭐️ Use this option if you want to manually approve who can download content from your kit.

  • Admin approval grants access to individual assets. After the visitor enters their email, they will see a message notifying them their request is being reviewed. An admin can approve or deny the request (more on this below). If approved, the visitor will be sent an email with a download link. The visitor will need to go through the same approval flow each time they attempt to download an asset in the kit. The visitor's downloads along with their email will be recorded in Lingo's new and improved Insights dashboard.

⭐️ Use this option if you want to manually approve who can download individual assets from your kit.

Brand portal settings

Download requests can also be set at the workspace level instead of the kit level. This can be done in your brand portal settings. Important to know the settings you configure on your brand portal will apply to every public kit in your portal and will override any kit level settings.

Approving or Denying Download Requests

If download requests are set to require admin approval, administrators can view and manage these requests in the new "Requests" tab on the Users page. Here, a table displays the current pending requests, which can be individually approved or denied. Prior to a request being approved, an expiration date can be set, after which the user will be unable to download the requested asset. Once the approval is confirmed, an email will be immediately sent to the user containing a download link. If a request is denied, administrators can choose to send a custom message to the user or to proceed without response.

Administrators can also manage all currently active requests, or view past request history, by changing the table view from "Pending Requests" to "Approved Requests" or "Request History", via the dropdown in the top-right of the table.
