New Portal Based Sharing Functionality

This article provides an in-depth explanation of Lingo's new portal-based sharing functionality.

Architecture change

In Lingo's previous architecture, each workspace had a single portal—a home page that displayed selected kits to users. When inviting team members, you could choose which kits they could access within this single portal.

With Lingo's new architecture, you can now create multiple portals in a workspace, and each portal is fully customizable. Instead of selecting kits for individual users, you now invite team members directly to specific portals that contain kits. This allows you to create custom tailored content environments for each of the different groups of people you need to distribute content to.

New dashboard

If you're an admin in your workspace you'll see a newly designed dashboard that has two sections - one for kits, one for portals. All of your kits are listed in the kits section and you now have the ability to sort and filter them making it easier then ever to find the kit you're looking for.

The new portals section at the top shows you all the portals in your workspace and just like before you can create new kits and portals by selecting the "Create" button in the top right of the dashboard.

Portal customization

When you open a portal you'll see an insert panel on the left side. This panel allows you to add kits and other types of contextual information like notes, headings and support content to your portal page. You'll also notice that you can select and reorder your kits so they display in exactly the right order. To change the appearance of the portal you can select "Configure" in the upper right corner. This will display a theming panel where you can control the header image, portal title, font and accent color.

Important note about collections: Collections have been discontinued and we recommend using headings instead to visually group together kits inside a portal. If you use our portals migration tool we'll automatically convert your collections to headings when you migrate to the new architecture.

Sharing portals

Once your portal is configured the way you like, you can either invite other team members to access the portal, or you can make the portal public, apply a custom domain, and allow anyone with the link to access the portal. When a team member or visitor opens the portal, they'll see the portal page you designed, along with all the kits inside the portal.

Like mentioned above, Members are now invited to portals that contain kits instead of inviting members to specific kits.

Updated User Roles

With the rollout of Lingo's new portal based sharing functionality we've updated Lingo's user roles to better match the new architecture. Below are the new roles and their functions.

Admin

No change - Admins can access and edit all content and can manage user permissions. They can also access space settings and insights.

No change from the old admin role.

Content Manager

New role - Content managers can access and edit all content. They can also share kits with existing team members. They can't access settings or invite new team members.

Content managers have access to all kits and portals and also have access to your Library.

Member

Changed - The old "Limited member" role has been combined with the updated Member role. Members can only access or edit the kits they've been given access to by an admin or content manager.

Members are given access to specific portals.
